Improving Visibility and Engagement
IN EXECUTIVE MEETINGS
Objective
A multinational mining company’s UK office boardroom helps enable executive communications and decision-making across a distributed organization. While the space already featured collaboration technology, the existing configuration limited visibility in a long boardroom setting, particularly for remote participants.
With a growing emphasis on effective hybrid collaboration, the company set out to enhance the boardroom experience to ensure meetings were more inclusive, engaging, and reflective of a modern global headquarters without replacing its existing technology investment.
An Integrated Solution
ALIGNED TO OPERATIONAL NEEDS

Solution
The client partnered with Diversified to enhance the functionality of its leadership meeting space, leveraging Diversified’s global capabilities across key regions. The approach focused on practical improvements to support more effective hybrid meetings while maintaining continuity with existing systems.
Clear Visibility for Every Participant
To ensure all attendees could be seen and engaged, regardless of seating position, Diversified helped expand the room’s camera coverage. Additional PTZ cameras were introduced and positioned above the main display and along the side walls, providing consistent visibility across the large boardroom table. This approach addressed the limitations of a single front-facing camera and ensured that executive discussions could be easily followed by remote participants.

A More Natural Hybrid Meeting Experience
The enhanced system enables intelligent speaker framing and natural grouping of participants seated together. This allows remote attendees to better understand who is speaking and how conversations are flowing, reducing the sense of distance often present in hybrid meetings. By improving how people are seen and perceived on calls, meetings feel more balanced and inclusive for all participants.
Continuity with Existing Technology
Maintaining the integrity of the existing environment was a key requirement. The solution was designed to build on the technology already in place, reusing existing displays and integrating new components without unnecessary change or disruption. Structured cabling was installed and routed back to a nearby equipment rack, supporting system performance while preserving a clean, professional executive space.

Coordinated Delivery in a Live Executive Environment
As a 24-hour functioning office, access to the space was limited. Installation and commissioning were scheduled during a defined window when utilisation would be at its lowest, with work completed over a single week to avoid impacting daily operations.
A Trusted Global Partnership
The client selected Diversified to enhance its London leadership meeting space based on a long-standing relationship built on consistent delivery and operational support across multiple regions. Diversified has partnered with the company’s operations in Australia for more than a decade, delivering collaboration projects and providing ongoing embedded support through an Adopt services agreement. Diversified’s global partnership has since expanded to include additional on-site support resources in Singapore and India.

The combination of project expertise and long-term service support reinforced the client’s confidence in Diversified to deliver improvements within one of its most visible meeting environments.
More Effective Collaboration
ACROSS REGIONS
Impact
The upgraded boardroom enables a more inclusive collaborative experience for the company’s executive team, particularly in hybrid meetings. Remote participants now experience clearer visibility, better speaker framing, and a more natural sense of presence, designed to increase engagement for more productive discussions. By removing visual barriers and creating a more intimate meeting environment, the solution supports stronger collaboration across regions.
